Creating Products and Product bundles

This article explains how to manually create Products and Product bundles without shop integration.

This article is intended for users who do not have a shop integration. 

If you are integrating with Shopify, WooCommerce, or ShipStation, we suggest following the guidelines outlined in the following articles for creating your products:

The Product overview page

By following the steps below, you can navigate to the Products overview page:

  1. Log in to the online platform C-sar.
  2. Navigate to Commerce on the main menu bar. 
  3. Select Products. 
  4. You will be directed to the Products overview page. 
  5. Use the Filter icon located on the top right side of the page to easily narrow down your search for relevant Products based on specific criteria:
    • Condition
      • Active
      • Archived 
      • All
    • Status
      • Reviewed
      • Unreviewed
      • All
    • Name
    • SKU
  6. The number in the bottom left corner indicates the total number of results using the selected filters.
  7. Click on Apply filters to submit. 
  8. By clicking on Reset filters, you can remove all the filters at once. 


Creating a Product

 

These steps are specifically designed for users who do not have a shop integration set up.

For users who have integrated their shop, it is recommended to follow the steps for mapping Products from Shopify, WooCommerce, or Beans.

 

 

In Cropster, a Product represents a specific type of roasted coffee you intend to sell. Depending on the bag sizes and grind styles you offer, you have the flexibility to add multiple Product variants to your Product.

The following example is used to explain the workflow:

A filter coffee is being sold as "The fruity one" in two weight options (250g and 1kg) and two grind styles (whole beans and filter grind style).

 

This section will concentrate on the creation and management of individual Products.

 

 

  1. Log in to the online platform C-sar.
  2. Navigate to Commerce on the main menu bar.
  3. Select Products. You will be directed to the Products overview page.
  4. Click on +Add new product.
  5. Enter the following information:
    • Name: Name of the product
    • Cropster Product ID: Define a product ID or use your external shop's ID to uniquely identify your products.
    • Notes (optional)
    • Type (Single origin/Pre-roast blend or Post-Roast blend)
    • Profile group or Blend profile (depending on your Type selection)
      The Profile group or Blend profile allows the correct Profiles to be scheduled depending on which products are ordered. 
    • Notes (optional)
  6. Click Create Product to add your product. 
  7. Click + Add product variants to define at least one product variant.
  8. Enter the following information:
    • Unit: If your unit is not available, reach out via support.cropster.com and request the unit to be added. 
    • Grind style: If the grind style you need is not listed, simply start typing its name, and you will see an option to +Create grind style, allowing you to add it right away.

    • SKU: The Stock Keeping Unit must be unique for each variant.
  9. Click Create Variant to add your product variant. 
  10. Repeat this step for all product variants.

The Product Bundles overview page

By following the steps below, you can navigate to the Products bundles overview page:

  1. Log in to the online platform C-sar.
  2. Navigate to Commerce on the main menu bar. 
  3. Select Products. You will be directed to the Products overview page. 
  4. Click on the Products bundles tab. 
  5. You will be directed to the Product bundles overview page. 
  6. Use theFilter icon is located on the top right side of the page to easily narrow down your search for relevant product bundles based on specific criteria:
    • Condition
      • Active
      • Archived 
      • All
    • Status
      • Reviewed
      • Unreviewed
      • All
    • Name
    • SKU
  7. The number in the bottom left corner indicates the total number of results using the selected filters.
  8. Click on Apply filters to submit. 
  9. By clicking on Reset filters, you can remove all the filters at once. 


Creating Product Bundles

In Cropster, Product bundles are groups of Product variants that are sold together (e.g., Filter bundle). You can add several Bundle variants. 

The following example is used to explain the workflow:

Two filter coffees are sold together in a bundle named "The Awesome Duo". The bundle is available in two grind styles (whole beans and filter grind style). 

  1. Log in to the online platform C-sar.
  2. Navigate to Commerce on the main menu bar.
  3. Select Products. You will be directed to the Products overview page.
  4. Switch to the Product bundles tab. 
  5. Click on +Add product bundle.
  6. Enter the following information:
    * indicates mandatory fields
    • *Name: Name of the product bundle 
    • Cropster Product ID: Define a product ID or use the ID of your external shop to uniquely identify your products.
    • Notes (optional)
  7. Click Create bundle to add your Product bundle. 
  8. Click + Add bundle variants and select at least one product variant that is included in the bundle. 
  9. Enter the following information:
    • Product variant included in the bundle: Select a product variant from the list of products.
      The product variant needs to be added as part of a regular product first. 
    • SKU: The Stock Keeping Unit must be unique for each variant.
  10. Click Create bundle variant to add your product variants. 
  11. Repeat this step for all bundle variants.

Managing Product and Bundle Variants

From the product detail page, you can adjust stock levels for your Product variants and archive or delete Product and Bundle variants.


Adjusting stock levels

Normally, the stock of a product variant is created by executing a Packaging Plan and consumed by Order Fulfillment. 

However, there may be circumstances when you wish to manually adjust the stock level from the products page.

For example, if some coffee was accidentally damaged and had to be thrown away.

 

Stock levels can only be adjusted for product variants, not for bundle variants, as bundle variants tie into the individual product variants.

 

 

By following the steps below, you can easily adjust the stock level: 

  1. Log in to the online platform C-sar.
  2. Navigate to Commerce > Products.
  3. Click on the Product name, and you will be directed to the Product detail page. 
  4. Scroll down to the Variants table.
  5. Click Adjust stock next to the variant on the right side of the table.
  6. Enter the number of packages you wish to add or subtract in the Adjustment field, or else the total number of packages in the New Stock field.
  7. Add the reason for the adjustment in the Notes field for full traceability.
  8. Press Update Stock.

 

If you remove stock using this method, it will consume the oldest created stock according to the FIFO method (first in, first out).

If you increase stock using this method, it will create a new stock that is not linked to any roasts and therefore not traceable.

 

 

Archiving and deleting Product and Bundle variants

If you no longer wish for a Product variant to be visible as an option for creating an order, you can first archive and then delete it.

Archiving

 

Consider the following important point regarding the archiving process:

  • You cannot archive a Product variant if it is part of an open Order or Packaging Plan.
  • The SKU assigned to an archived variant cannot be reused.
 

 

  1. Log in to the online platform C-sar.
  2. Navigate to Commerce > Products.
  3. Click on the Product name, and you will be directed to the Product detail page. 
  4. Scroll down to the Variants table.
  5. Click the Archive button next to the variant to archive it.
  6. An archived product or bundle variant is not available for orders anymore. 
  7. To activate an archived variant, click the Unarchive button. 

 

Unarchiving the Product will not automatically restore its associated Product variants. You will need to perform this task manually.

 

 

Deleting

  1. Once you have archived the variant, you find the Delete button appears next to the Archive button.
  2. Clicking on theDelete button allows you can permanently remove a variant from your product and all reports.
    You can reuse the SKU of a deleted variant. 

 

To delete the Product bundle variant, you need to archive it first.

We recommend you check if the Product bundle variant is no longer in use and that there are no pending orders, packaging plans, or order fulfillments.

A deleted variant is not recoverable.

 

 

FAQs

What to do when I enter an SKU incorrectly?
As you can not edit product variants after creation, we recommend archiving and consequently deleting the variant to set it up from scratch.

I unarchived a Product, and all the Product variants still stayed archived. Is this intended?
When you unarchive a Product, please note that all associated Product variants will remain archived. This is the intended behavior and not an error.
