You need to have the Group Administrator's permission to perform the steps outlined in this article.
Overview
This article explains how to:
- Add a new location
- Assign a roast machine to a location
- Assign green lots to a location
- Edit location(s)
- Delete location(s)
Setting up one or more locations enables comprehensive oversight of your coffee supply chain by centralizing the management of green lots and roasting data across warehouses, transit hubs, and production facilities.
It allows for precise activity logging by designating specific spots for inventory, providing critical visibility into logistics, and ensuring you can track the exact timing of shipments moving from origin or between facilities.
⚠️ You'll need to set up a location to access core platform functionality; failing to do so will restrict your ability to utilize essential C-sar features, such as the Tasks module.
Instructions
Adding a new location
⚠️ Important:
- The “Cafe” Location type should only be selected if you have an active Cafe subscription.
- To ensure seamless management and tracking, you must manually assign any existing roasting machines and green lots to a new location if the new location was created after your initial setup.
- Log in to the online platform C-sar.
- Navigate to More > Locations.

Click +Add location.

Enter the following information:
* Indicates mandatory fields.- *Name
- *Location type
- *Country
- City
- Time zone
- Street
- Zip code

Click Create location to save.

💡 Tips and Recommendations:
To monitor your contracted lots effectively, you can set up a virtual location by selecting "Other" as the designated Location type.
Assigning a roast machine to a location
Every new roasting machine requires a location assignment when it is added to your C-sar account:
- Log in to the online platform C-sar.

Navigate to
Gear > Machines.

Add your roast machine.

Click Create machine.
Assigning green lots to a location
To allocate your green coffee lots to a specific site, you must use the Warehouse Distribution tool within the online platform C-sar:
- Log in to the online platform C-sar.
- Navigate to the (Green) Inventory on the main menu bar.

Check the box next to your selection and click the Warehouse distribution button on the right side of the screen.

To allocate your lots, you have two primary methods: either manually input the specific weight you wish to transfer into the field for a chosen location, or use the All to option at the bottom of the page to move your entire inventory at once.

- Click Update to finalize.
Editing a location
- Log in to the online platform C-sar.
- Navigate to More > Locations.

Find the name of the location you want to modify and click the
Edit icon located on the right side of the screen.

Modify the following details:
* Indicates mandatory fields- *Location name

*Location type: You can assign more than one location type to a single location.
⚠️ Please only use the “Cafe” Location type if you have an active Cafe subscription. - *Country
- City
- Time zone
- Street
- Zip Code

Click Update location to finalize the changes.

Deleting a location
⚠️ Warning for Cafe users
You cannot delete any location currently linked to an active espresso machine. Attempting to do so will trigger an error message, a safety measure designed to prevent the permanent loss of critical data associated with that site.
- Log in to the online platform C-sar.
- Navigate to More > Locations.

Find the name of the location you want to remove and click the
Delete icon located on the right side of the screen.
- A warning message will pop up on the screen: “Are you sure you want to delete this location? Any items or data assigned to this location (equipment, recipes, etc.) will no longer have a location.”

Click Delete to confirm.
