Issue 

When attempting to edit a completed roast, you may notice that the desired green lot is missing from the dropdown menu under “Green lot.”

Solution

This issue typically stems from one of two main causes:

  1. The green lot has been registered after the roast date
  2. The green lot is in a different location from the roast

The following sections detail both factors.

Issue 1: The green lot has been registered after the roast date

If a green coffee lot was registered after the roast occurred, the system won't let you select it. Logically, the lot didn't "exist" in the platform at the time of production.

To fix this, check both the lot registration date and the roast date. If the registration date is later than the roast, you will need to adjust them to align.


Identifying the lot's registration date and roast date
 

  1. Log in to the online platform C-sar.
  2. Navigate to the (Green) Inventory on the main menu bar. 
  3. Click on the ID tag of the green lot. 
  4. Check the Registration date in the General information section and take a note of it. 
  5. Navigate to Roasts on the main menu bar. 
  6. Check the Roast date column on the Roast overview page.
  7. Compare both dates to ensure they match up correctly.

Ensure the green lot's registration date is set before the roast takes place. If the dates are already in the correct order, you can move on to the next section.

If you need to adjust the dates, follow the steps below.


Modifying the lot's registration date

 

⚠️  You can only edit a lot's registration date if its weight hasn't been changed. If weight adjustments or roasts have already been recorded, the Registration date field will be locked. In this scenario, you should modify the roast date instead to align the two records.

 

 

  1. Navigate to the (Green) Inventory on the main menu bar. 
  2. Click on the ID tag of the green lot. 
  3. Select EditIcon (1)-png-2Edit.
  4. Set the Registration date to a time before the roast occurred.
    For example, if the roast took place on July 7, 2025, at 6:00 PM, you should set the lot's registration date to any time prior, such as July 6, 2025, at 6:00 PM.
    💡 If the Registration date isn't visible under the Inventory name, click Customize fields, check Registration Date under General information, and save.
  5. Click Save. 
     


Modifying the roast date

 

⚠️ Adjusting a roast's timestamp will reorder its position on the Roasts overview page to match the new chronological sequence.

 

 

  1. Navigate to Roasts on the main menu bar.
  2. Click the Roast to navigate to the Roast details page.
  3. Select EditIcon (1)-png-2Edit.
  4.  Set the Date (and time) to a date and time that is after the lot's registration date.
    For example, if you need to replace a lot that has a Registration date of June 6, 2025, at 2:43 PM, you should set the Date (and time) to any time after, such as June 7, 2025, at 2:43 PM.
  5. Scroll down to the bottom of the page and select All changes saved.


Issue 2: The green lot is in a different location from the roast

The error message always indicates the location of the roast you are currently trying to edit.
In this example, the "No lots found" message indicates that the roast you are editing is assigned to the Roastery location.

 

Locating the green lot

Navigate back to the Lot details page. You will find the Location in the General information section on the left side.

 

Moving the lot to the location of the roast

If the green lot is in a different location than the roast, you'll need to move it to the same location using the Warehouse distribution feature.

  1. Click Manage > Warehouse distribution.
  2. Enter the amount you wish to move in the Quantity field to transfer that inventory to the roast's location.
  3. Click Update. A new lot with the same ID tag will be created at the new location, allowing you to select it when editing your roast.
