How to manage and fulfill Orders

Overview
This article provides an end-to-end overview of the Order fulfillment workflow, from the initial synchronization of new orders through to completion.

Instructions
Depending on whether your orders are ready to ship or still need processing, select one of the following Order fulfillment workflows:
Fulfilling orders from the Pick list
Use the Pick List to fulfill orders that are already prepared and ready to go.
Step 1: Synchronise Orders
- Log in to the online platform C-sar.
- Navigate to Commerce > Orders.
- Select Synchronize.

Open orders will be synced to the online platform with the following information:
- ID-Tag: Each order will receive an ID-tag with OR.
- Fulfillment status: Unprocessed orders will be marked as Received.
- Order fulfillment
- External reference
- Order date
- Order item
- External order status
- Shop
- Customer

Step 2: Group your Orders into an Order Fulfillment
⚠️ For precise scheduling and stock allocation, make sure your Roasted Inventory is up to date before starting the Order fulfillment.

Choose the orders you wish to fulfill by checking the boxes, then select Fulfill.

- In the *Fulfillment date field, select the date by which the order needs to be completed.

Click Create order fulfillment.
Once created, you can find your plan on the Order fulfillment overview page. Each plan is tagged with a unique identifier (e.g., OF-1234).
Step 3: Fulfill orders from your Pick list
- Navigate to Commerce > Order fulfillment.
- Mark the checkbox next to the OF tag for your plan and click Fulfill.

Select the orders you wish to finalize from the Pick List tab and click Complete.
💡To process multiple orders at once, simply check all the relevant boxes; the Complete button will then appear above the table for bulk actions.
Starting Order Fulfillment from Packaging
Follow these steps to finalize fulfillment for orders that require additional processing.
Step 1: Synchronise Orders
- Log in to the online platform C-sar.
- Navigate to Commerce > Orders.
- Select Synchronize.

- Order date
- Order item

Step 2: Group your Orders into an Order Fulfillment

Step 3: Create Packaging plans based on the Net requirement

- Navigate to Commerce > Order fulfillment.
- Select the OF tag.
- Navigate to the Packaging tab.

(Optional) Click Customize to select the items for the Packaging requirements tab, then use the arrows to set their order. Click Apply to save your changes.

Once you have reviewed your Net requirements, choose one of the following options:

Option 1: Click Execute all plans.

Option 2: To add plans individually, click Add packaging plan. This allows you to customize specifics for individual products. The Add packaging plan page is pre-filled based on the Net requirements.

Step 4: Schedule roasts based on the Packaging requirements
- Navigate to the Roasting tab.

Once you have reviewed your Net requirements, choose one of the following options:

Option 1: Click Add all roast schedules to instantly generate roast schedules.

Option 2: To create roast schedules individually, click Add roast schedule next to your chosen Profile group to create a new individual entry.

Option 3: Select Go to roast schedule to open your full scheduling overview.

Option 1: Click Add all roast schedules to instantly generate roast schedules.

(Optional) If blending is required, proceed to the Blend tab.
(Optional) Step 5: Add blend
If the order does not require blending, skip to Step 6.

Select the Add blend button for the specific profile.

The Add blend page is pre-filled based on the Net requirements. Review and confirm the suggested values and click Create blend to proceed.
Step 6: Execute Packaging plans
- Navigate to the Packaging tab.

Choose one of the following options:

Option 1: Click Execute all plans to move your entire schedule into production at once.

Option 2: Click Execute plan next to a specific Product Name to process only that item.

Option 1: Click Execute all plans to move your entire schedule into production at once.
- You will be directed to the Packaging Execution page. The page automatically loads all Open and In-progress Packaging plans for this product within the current Order Fulfillment.

(Optional) Use the Print button to generate a physical copy for your team.
⚠️Please note that once printed, the status must still be manually updated to ‘Completed’ in the online platform C-sar.
- Click Submit.
Step 7: Finalize remaining orders

Navigate to the Pick list tab.

Select the orders you wish to finalize from the Pick List tab and click Complete.
To process orders in bulk, select the relevant checkboxes and click Complete above the table.
