This article will introduce the Roasted Inventory overview page.

Accessing the Roasted Inventory overview page

In Cropster, Roasted Inventory refers to coffee that has been roasted, as opposed to green. It is divided into three tabs: 

  1. Loose Inventory
  2. Post-roast blend inventory
  3. Packaged Inventory

 

⚠️ The current iteration of the Roasted Inventory does not account for locations. The amounts displayed refer to all roastery locations. 

 

 

  1. Log in to the online platform C-sar. 
  2. From the main menu bar, navigate to Roasted Inventory. You will be immediately directed to the Loose Inventory overview page.
  3. Switch to the Post-roast blend Inventory tab to view the blends that were created with a Post-roast blend Profile.
  4. Switch to the Packaged Inventory tab to view your already packaged coffee that is ready to be shipped. 

 

Did you know?

You can now access detailed explanations of the calculations for each column on the Loose, Post-roast Blend, and Packaged Inventory overview pages by simply hovering over the "?" icon.

 

 

Loose Inventory

The Loose Inventory is categorised by Profile group and comprises roasted coffee that has not yet been packaged. It takes all the roasts from the last 30 days into account. 
 

💡Tips and Recommendations:

To help you keep your inventory organized, use Profile groups to categorize and define your products. This ensures a clear, structured overview of your current stock.

 


To filter for specific Profile groups only, use the Filter top right. 

The following is a comprehensive overview of the data displayed in the table:

  • On-hand: The total weight of all roasts (PR lots) that have been roasted within the past 30 days but that have not yet been packaged. 
  • Ordered: The total weight of all orders received within the past 30 days that have not yet been fulfilled.
  • To roast: This column displays the total amount of coffee ordered for the selected profile group, which includes both single origins and post-roast blends.
  • To be packaged: The total weight of all roasts required by a Packaging Plan that have been roasted within the past 30 days. 
  • Scheduled: The total weight of all future schedules.
    After roasting, this weight will be added to 'On-hand'
  • Available: The available amount is calculated by On-hand - (minus) Allocated.

By clicking on the Adjust weight button on the right side of the page. You can record any changes and/or discrepancies, so you will always have an accurate level of your stock. 

 

⚠️ Once you've marked the selected PR lots consumed, they will not be considered in the calculations for Loose Inventory. 

 

 

Post-roast Blend Inventory 

The Post-roast Blend Inventory overview page shows only blends that were created with a Post-roast Blend Profile. 

The Post-roast Blend Inventory takes all blends from the last 30 days into account.

To filter for a specific Blend profile only, use the Filter top right. 

The following is a comprehensive overview of the data displayed in the table:

  • On-hand: The total weight of all Post-roasts (PB lots) that have been blended within the past 30 days. 
  • Ordered: The total weight of all Orders received within the past 30 days that have not yet been fulfilled. 
  • To blend: The weight that must be blended to fulfill the ordered amount using both on-hand and newly blended quantities. This is calculated by Ordered - (minus) On-hand.
  • To be packaged: The total weight of blends that are included in a Packaging Plan before being executed in the last 30 days. Excluding manual Packaging Plans where roasts were selected. 

By clicking on Blend coffee (1) on the top right side of the page, you will be directed to the Create a blend page (2).

Packaged Inventory

Packaged inventory is summarized by Product, with each Product variant listed individually according to its Unit and Grind style.

Active products linked to Profile groups or blend profiles are showing up in this list. 
To filter for specific Products only, use the Filter top right. 

 

The following is a comprehensive overview of the data displayed in the table:

  • On-hand: The number of packages currently in stock.
  • Ordered: The number of packages ordered and received within the last 30 days, but that have not yet been fulfilled.
  • Allocated: The number of packages already assigned to orders within an Order Fulfillment plan.
  • To be packaged: The number of packages that will be created once Packaging Plans have been executed; the plans cannot be more than 7 days old.
  • Available: The available amount is calculated by On-hand - Allocated.

 

Did you know?

The difference between the amount of On-hand packaged Inventory and the amount required by allocation shows how much of a surplus you have.

 

By following the steps below, you can manually adjust your Packaged Inventory:

  1. Navigate to the Packaged Inventory tab. 
  2. Click on the Product. You will be directed to the Product details page.
  3. Navigate to the Variants tab.
  4. Click on Adjust stock for the Product variant you would like to adjust.
  5. The Adjust stock level window will pop up. 
  6. Enter the adjustment by typing it into the designated Adjustment* field manually.
  7. Click on Update Stock. 

 


FAQs

How do I adjust the Post-roast blend inventory? 
By following the steps below, you can easily adjust your Post-roast blend inventory:

  1. Log in to the online platform C-sar.
  2. Navigate to Roasted Inventory on the main menu bar. Switch to the Post-roast blend inventory tab. 
  3. Click on the Blend profile.
  4. On the Edit blend profile page, you can edit the following details:
    * Indicates mandatory fields 
    • *Name
    • Blend profile components:
      • *Profile group-component
      • * % of blend
    • (Optional) Select + Add component to add further blend components.
  5. Click Update blend profile to submit the changes. 


How do I mark the PR lots consumed? 
By following the steps below, you can mark the PR lots consumed:

  1. Log in to the online platform C-sar.
  2. Navigate to Roasts on the main menu bar. You will be directed to the Roasts overview page.
  3. Select the PR lot(s) by clicking on the respective checkboxes.
  4. Click More > Mark as consumed.


Why would I mark PR lots consumed?
There are various reasons why you might choose to mark PR lots as consumed:

  1. They are used in a blend, indicating that all of the roast has been utilized in the blending process.
  2. You have completely used them up.
  3. To update the Inventory accurately. If the roasts are marked consumed, they will be removed from the Loose Inventory.

During setup, you can mark all existing roasted batches as consumed. For any batches you still have in stock, simply use the Adjust weight tool on the Loose Inventory page to update your actual stock levels.
