How to manage and fulfill Orders

Overview
This article provides an end-to-end overview of the Order fulfillment workflow, from the initial synchronization of new orders through to completion.
Production Planning and Fulfillment
Follow these steps to plan your production and fulfill your orders from Order Fulfillment.
Step 1: Synchronise orders
- Log in to the online platform C-sar.
- Navigate to Commerce > Orders.
- Select Synchronize.
- Open orders will be synced to the online platform with the following information:
- ID-Tag: Each order will receive an ID-tag with OR.
- Fulfillment status: Unprocessed orders will be marked as Received.
- Order fulfillment
- External reference
- Order date
- Order item
- External order status
- Shop
- Customer
Step 2: Group your orders into an Order Fulfillment
Prerequisite: For precise scheduling and stock allocation, make sure that your roasted inventory is up to date before proceeding.
- Choose the orders that you wish to fulfill by checking the boxes, then click Fulfill.
- In the Fulfillment date field, select the date by which the order needs to be completed.
- Click Create order fulfillment.
Once created, you can find your plan on the Order fulfillment overview page. Each plan is tagged with a unique identifier (OF-####).
Step 3: Create packaging plans
To understand the logic behind any value, hover over the tooltip icon in the column header for a detailed breakdown of the calculation.
- Once you've created your order fulfillment, navigate to the Packaging tab.
- (Optional) Click Customize to select the items for the Packaging requirements tab, then use the arrows to set their order. Click Apply to save your change.
- Once you have reviewed the numbers in the packaging tab, choose one of the following options:
- Click Auto-create plans and select By net requirement to generate packaging plans based on demand across all open and in-progress orders, combined with your minimum stock levels. Use this option to fulfill your orders in bulk, or if you have minimum packaged stock levels that you wish to keep.
- Click Auto-create plans and select For this OF only to generate packaging plans for this order fulfillment only. Ignores on-hand stock, scheduled plans, and minimum stock levels. Instead, a new plan is added on top of any existing ones for the product.
Use this option when you are processing an order wave and only want plans for that specific fulfillment, independent of stock or other open orders. This option works well when paired with a customized view of your columns.
- To add plans individually, click Add packaging plan. This allows you to customize specifics for individual products. This page is pre-filled based on the net requirements.
- Click Auto-create plans and select By net requirement to generate packaging plans based on demand across all open and in-progress orders, combined with your minimum stock levels. Use this option to fulfill your orders in bulk, or if you have minimum packaged stock levels that you wish to keep.
Step 4: Schedule roasts based on the packaging requirements
- Navigate to the Roasting tab.
- Once you have reviewed your net requirements, choose one of the following options:
- Click Add all roast schedules to instantly generate roast schedules.
- To create roast schedules individually, click Add roast schedule next to your chosen profile group.
- Click Go to roast schedule to open your full scheduling overview.
- Click Add all roast schedules to instantly generate roast schedules.
(Optional) Step 5: Add blend
- If blending is required, proceed to the Blend tab.
- Select the Add blend button for the specific profile.
- The Add blend page is pre-filled based on the net requirements. Review and confirm the suggested values, then click Create blend to proceed.
Step 6: Execute Packaging plans
- Navigate to the Packaging tab.
- From the three-dots icon menu, select one of the following options:

- Click By net requirement to package all plans together, regardless of variant, including plans not created for this order fulfillment.
- Click For this OF only to only package the plans created for this order fulfillment. This option is disabled until at least one plan has been created for this order fulfillment specifically (see Step 3: Create packaging plans, 3.b).
- Click Execute plans next to a specific product name to package only that item.
- This will take you to the Packaging Execution page, where you can mark any of your variants as packaged. Once you submit your packaging execution, your on-hand value will increase.
- (Optional) Use the Print button on the packaging execution page to print the packaging execution document.
Step 7: Finalize remaining orders
- Navigate to the Pick list tab.
- Select the orders that you wish to finalize and click Complete.
- To process orders in bulk, select the relevant checkboxes, then click Complete above the table.
Order fulfillment from the pick list
If you have done your production planning outside of order fulfillment and your inventory is ready to ship, you can create an order fulfillment and complete orders from the pick list.
Step 1: Synchronise Orders
- Log in to C-sar.
- Navigate to Commerce > Orders.
- Click Synchronize.
- Open orders will be synchronizeded to the online platform with the following information:
- ID-Tag: Each order will receive an ID tag in the format OR-####.
- Fulfillment status: Unprocessed orders will be marked as Received.
- Order fulfillment
- External reference
- Order date
- Order item
- External order status
- Shop
- Customer

Step 2: Group your Orders into an Order Fulfillment

- Click the checkboxes to select the desired orders, then click Fulfill.
- In the Fulfillment date field, select the date by which the order needs to be completed.
- Click Create order fulfillment.

Step 3: Fulfill orders from the pick list
- Navigate to the Pick list tab.
- Select the orders that you wish to finalize and click Complete.
- To process orders in bulk, select the relevant checkboxes, then click Complete above the table.
