Managing Green Inventory
This article explains how to add green coffee, make adjustments, view your lot's history, and access your Green Inventory Report.

Why use Green Inventory?
The (Green) Inventory feature provides a comprehensive overview of your physical coffee stock, enabling you to monitor and manage your inventory effectively.
There are two types of lots stored in your (Green) Inventory:
- PG lots (Roast, Origin): Green coffee ready to be roasted.
- PP lots (Origin only): They have yet to be milled; they may have been in a state of either parchment, dry-cherry, or raw green.
With Cropster, you can also split your inventory between locations, e.g., roasting facilities and warehouses.
To streamline your experience, Cropster automatically tracks and deducts the green coffee utilized during your roasting sessions. This means that while roasting with Roasting Intelligence, you can effortlessly see how much coffee you have remaining at any given moment.

Green Inventory in C-sar
If you have an Origin subscription, the page is called the Inventory Overview Page; otherwise, it is referred to as the Green Inventory Overview Page.
By following the steps below, you can navigate to the (Green) Inventory overview page.
- Log in to the online platform C-sar.
- Navigate to (Green) Inventory on the main menu bar. You will be directed to the (Green) Inventory overview page.
- By clicking on Add lot, you can select between these two options: One or Bulk import.

When adding the green inventory for the first time, a window pops up where you can set the information you want to track your greens with.
You can customize this information at any point.
Adding lots in bulk (Bulk import - recommended for new users)

Clicking Bulk import brings you to the bulk uploader, where you can add multiple lots via a built-in spreadsheet format.

We recommend entering Name, Weight*, and Weight unit*.
For Origin only: You need to enter the State*. Select between the following states: Green, Parchment, Dry cherry, Raw green. - To save time entering lots, you can copy and paste data from, e.g., an Excel sheet directly to the import table, or hover with the mouse pointer over the bottom-right corner of the cell until a + sign appears, then drag it down to copy cells within a column.

Click Import lots to submit.
Adding lots one by one
- Clicking One will allow you to enter lots one by one.

Customize the input fields by clicking on the Customize fields button.
- Enter the information you would like to add to your lot.

Click Create green inventory to submit.
Tips and recommendations:
- You can also add the Registration Date to your green lots. The Registration Date can only be changed as long as no transactions are registered with the lot.
- By adding Varieties, you can also add custom varieties to your lots.
Customizing the Green Inventory overview page
By following the steps below, you can customize your (Green) Inventory overview page:
- Navigate to the (Green) Inventory overview page.

Click on the Customize button.
- A side panel will open to save your preferences. In the Columns to Display section, select the information you want visible by checking the boxes, and rearrange the column order by clicking the arrows.

Click the Apply button to save your preferences.
The customized view is saved on the same browser. If you switch to a different browser or device, you will need to set up your customized view again.
Editing Green Inventory
You can easily make changes to your green lots in three ways:

Click the
Edit lot button for the specific lot you want to modify.

Select the lot(s) you wish to modify and click on the
Bulk edit button.

Navigate to the lot's details page and click on the
Edit button.
Performing additional actions
By following the steps below, you can perform additional actions:
- Select the lot(s) by clicking on the respective checkboxes.

To save time, the most common actions are displayed immediately:
- Adjust weight
- Warehouse distribution

Start cupping session

Click the More button to explore further actions:
- Start physical analysis
- Merge inventory
- Generate sample labels
- Mark as consumed

Accessing the Inventory Report
By following the steps below, you can access the Inventory Report via the (Green) Inventory overview page:
- Log in to the online platform C-sar.
- Navigate to (Green) Inventory on the main menu bar. You will be directed to the (Green) Inventory overview page.

Click the Go to Inventory Report button on the top right side of the page.

The lot's details page
You can easily navigate to the lot's details page by clicking on the PG tag on the (Green) Inventory overview page.

General information section

Weight section
The weights section provides the following information:
- Initial weight
- Current inventory (turns yellow if it is below the minimum inventory level)
- Minimum inventory level (optional)
- Run out estimation
- Price per unit (it only appears if you previously added the price to your lots)
- Total value

Transaction history and projection chart
Navigate to Transaction history and the projection chart to review all transactions of a green lot. The chart shows the weight added and removed over time.

The Transaction history and run-out projection graph show the following:
- The grey dot represents the initial weight.
- The blue line represents the transaction history of your lot.
- The green dot represents the current weight.
- The yellow dotted line represents the projected weight.

The red dot represents the estimated run-out date.
If the estimated run-out date is unavailable because, e.g., your lot is not likely to run out in the next 8 weeks, a notification highlighted in blue will appear above your chart.

The model takes into account past roasts and incorporates seasonal patterns with generally high accuracy. However, it's essential to apply critical thinking and consider context when interpreting its outputs, as extreme outliers can impact the calculations.
The Transaction history table shows all changes that have happened: when and how much green inventory was added, subtracted, or transferred.

The following details are displayed:
- Date: The date when the transaction was registered.
- Weight before: The weight of the lot before the adjustment.
- Adjustment: Shows the weight adjustment applied (to the "weight before" value).
- Weight after: The weight of the green lot after the adjustment.

Event type:
- Adjust: The transaction is a user-logged adjustment (i.e., Adjust weight).
- Allocate: The transaction is a user-logged allocation of weight amongst your location.
- Current: The row refers to the current status of the lot.
- Merge: The transaction refers to a merge of weight between two or more lots.
- Projection: Represents the projected weight until the run-out estimation date.
- Roasting: The transaction is roast-logged manually from the online platform C-sar or RI (Roasting Intelligence)
- Location: Refers to the location where the transaction occurred.
- Relation: Refers to the roast ID-tag resulting from a "Roasting" transaction
- Comment: This shows the comment entered when running the "Adding weight" function.
Click Customize to adjust the columns. You can select between three display sets: Show all, Hide all, and Restore defaults.
Tips and recommendations:
- You can export the information from the table to an Excel file by clicking on Excel .xls.
- Please note that only the rows currently selected (visible) will be included in the export.
The Quality information section
You can find the Quality information at the bottom of the lot's detail page:
- Green grading
- The Sensorial History* will show all quality data from lots within the same group.
- Latest profile cuppings

Lot quality development over time: Includes all production cuppings for the Profiles where the selected lot is assigned.

FAQs
How can I change the registration date of my lot?
When you register a lot, the Registration Date is the exact date when you added the lot to your inventory. You can only change the registration date when no transactions are registered with the lot.
How can I change the initial weight of my lot?
By following the steps below, you can reach the Adjust Weight page:
- Log in to the online platform C-sar.
- Navigate to (Green) Inventory on the main menu bar. You will be directed to the (Green) Inventory overview page.
- Select the lots you would like to adjust by clicking on the respective checkboxes next to the PR numbers.

Select
Adjust weight.
- You will be directed to the Adjust Weight page.
- Enter the new value. You can also add comments to the lots.

Click on Update weight to submit.
Tips and Recommendations:
- By clicking on +Add lot, you can select further lots for weight adjustment without leaving the Adjust weight page.
Can I reset the weight of my lots?
Yes, you can reset the weight of your lots. The Reset weight function is only available for lots with no previous adjustments, roasts, or transactions.
By following the steps below, you can reset the weight of your lots:
- Log in to the online platform C-sar.
- Navigate to (Green) Inventory on the main menu bar. You will be directed to the (Green) Inventory overview page.
- Select the lots you would like to adjust by clicking on the respective checkboxes next to the PR numbers.

Select
Adjust weight.
- You will be directed to the Adjust Weight page.

Select the corresponding checkbox(es) under the Reset Weight column.
- Click Update weight.
What if the variety I'd like to add is not on the list of varieties?
Simply add a new variety to your lots.
