Overview

A point of sale (POS) is the system and the location where your customers complete their purchases. This article explains how to upload your POS data to Cropster Cafe. If your export does not match the recognized format, you will be able to map the columns to the required fields during the upload.

Locating your POS data

You can access POS reports through the interface of your own POS system. Each link below leads to the helpdesk of the respective product.

Why is it important to have accurate POS data?

  • You can analyze your actual sales data in real time.
  • You can monitor sales patterns and gain insight into customer preferences.
  • You can make informed decisions about inventory levels and pricing.
  • You can work more efficiently, which improves your overall business performance.
  • You can plan strategically and grow sustainably.

To use the Inventory Insights feature, you must upload at least one .csv file that contains your POS data. Review the recommended workflow for entering data before you start.

Prerequisites

Create your Cafe Menu before you upload your POS data.

Guidelines for uploading POS data

  • If you structure your .csv file as shown in the following screenshot, every required field is recognized without any action from you:
  • Headers:
    • If you include a header row, your column headers will be read when you select the file, and each recognized header will be mapped to one of the four required fields:
      • Date
      • SKU
      • Name
      • Quantity
    • If you omit headers, you will be able to map them to the correct required fields in the post-upload dialog.
  • You do not need to rename or reorder your columns, and you do not need to delete any additional columns. After the upload, you will be able to map any column in your file to any required field.
  • Use the date format YYYY-MM-DD HH:MM. Dates in another format will be detected and converted for you.
  • You can leave SKUs that are not related to your cafe in the file. Only the relevant SKUs are processed.
  • Use a semicolon (;) or a comma (,) as the separator for your data.
  • Limit the file size to 3 MB.
  • Submit the file in English.

Steps of uploading POS data

  1. Log in to C-sar.
  2. Click Cafe on the main menu bar.
  3. Scroll down to the Inventory Insights tab.
  4. Click the POS data link.
  5. On the POS Data overview, click the + Add POS Data button.
  6. Select the Location and the Cafe Menu from the drop-down menu.
  7. Select your .csv file from your device.
  8. Click Upload. If additional mapping is required, you will be taken to the mapping page to complete it. Otherwise, the uploaded file data will be immediately visible in the POS data overview section.

Mapping the headings

If a required field cannot be matched to a column in your file, you will be taken to a mapping dialog. You can then select the matching column from the drop-down menu. The flag clears and the sample value updates as soon as you select a column. You can complete the upload when all four required fields have a column.

If your file has no header row, its columns are labeled Column A, Column B, Column C, and so on, and a sample value from the first row is shown for each column. In this case, map all four required fields yourself.

If your dates are in another format, a warning on the Date row names both the format found in your file and the format that your dates are converted to. The warning does not stop you from continuing, and the preview shows your dates already converted.
