Fulfilling Tasks

This article will explain how to navigate to the Task board also how to fulfill tasks and edit schedules.

The Task board

 

You need Task viewing permission to access the Task board. As soon as a task becomes due, it will be populated on the Task board.

 


By following the steps below, you can easily access the Task board:

  1. Log in to the online platform C-sar.
  2. On your dashboard, you see tasks (assigned directly to you or anyone) that are due today. Click on Tasks due today to get to the Task Board. 
    If there are no tasks due, you can still view the Task Board by selecting the Tasks option from the main menu bar.
  3. From the Task Board, you can view all due and overdue tasks for the selected period, regardless of assignee or status. Production volume-based tasks will be shown at the top. 
  4. From the Task board, you can filter for tasks relevant to you or change their status. 

 

Tasks assigned to a specific roasting machine may also appear in Roasting Intelligence (RI).

 

 

Filtering tasks

Filter tasks on the Task board to show only those relevant to you.

You can toggle between the two options:

  1. Specifying time frames
  2. Setting up customizable filters


Specifying time frames

By clicking on the respective date preset, you can view tasks that are due Today or within:

  • Last 7 days 
  • Next 7 days
  • Next 30 days

 

Production volume-based tasks will not appear in the Next 7 days or Next 30 days view.

 


Setting up customizable filters 

By clicking theFilter button, the filter sidebar will appear, allowing you to apply various criteria to display tasks that are specifically relevant to your needs.

The options available for filtering include:

  • Task name
  • Task status
  • Task frequency
  • Assigned to
  • Roasting machine
  • Cafe equipment
  • Location
  • Task category


Task statuses

A task can have the following statuses: 

  1. To do: Once a task reaches its due date, it will automatically appear as "To do" on the Task Board.
  2. In progress: Tasks that are actively being worked on.
  3. Done: Tasks that are fulfilled.
  4. Won't do: Tasks that are deemed unnecessary or are not feasible to complete.
  5. Missed: A task is marked as "Missed" if its next occurrence is completed without the previous instance being fulfilled.

You will be alerted when a task is overdue:

  • An overdue task is indicated by an orange date or production volume displayed in the Due column on the Task board.
  • In Roasting Intelligence, overdue tasks are highlighted in orange, indicating their overdue status along with the duration for which they have been overdue:

 

The overdue flag will remain active unless the status is set to Won't do.

If you completed a task on time but forgot to mark it as done, you can enter the completion time to clear the Overdue flag.

 

 

Changing the task status

Tasks can be completed in two different ways:

  1. From the Task Board
  2. Directly within the Roasting Intelligence (RI)


Completing tasks from the Task board

There are multiple ways available for completing tasks.

  1. Checking off the task:Click the checkbox located to the left of the task.
  2. Changing the status using the dropdown menu.
    Change the task status to "In progress" to reflect your current engagement.
  3. Changing the status via the Task detail modal.

By following the steps below, you can easily change the status via the Task detail modal:

  1. Click on the Task name to open the details.
  2. Select the desired Status from the dropdown menu in the window that appears.
    You can only edit the Status and/or add a Comment here. 
  3. When you mark a task as Done, additional fields will appear to specify the completer and record the completion date and time.
  4. Click the Save button to confirm your changes. 

 

You can enhance your tasks by adding comments for context or to document progress and actions taken.

 

 

Completing tasks directly within the Roasting Intelligence (RI)


Tasks assigned to a roasting machine may also appear in Roasting Intelligence (RI), provided that the task issuer has enabled this feature.

Once a task reaches its due date, an indicator featuring the Tasks icon will appear in Roasting Intelligence (RI).

By following the steps below, you can complete tasks directly within the Roasting Intelligence (RI):

  • Switch to the Task sidebar by clicking on the Tasks icon bottom left.
  • Click the "..." See more button and select the action:
    • Mark as done
    • Mark as won't do
    • Mark with a comment
