Setting up a Roast schedule (for single origins and pre-roast blends)

This article explains how to schedule single origin lots and pre-roast blends.

Setting up a Roast schedule (for single origins and pre-roast blends is available for the following products:

  • Roast: Professional and higher tiers
  • Commerce 



Why use Roast schedules?

Roast schedules assist in addressing key queries such as:

  • How many roast batches are needed and what is the optimal batch size?
  • How much green coffee is needed?
  • How much excess coffee will be roasted if you use full batch size?
  • How much green coffee is needed for blend profiles?

The Schedule overview page

By following the steps below you can navigate to the Schedule overview page

  1. Log in to the online platform C-sar.
  2. Navigate to Roasts on the main menu bar and select Schedule

When you click on More and then Start tour, a helpful window will appear on the left side of your screen.

This window will guide you through the features of the Schedule overview page, making it easier for you to navigate and understand how to use it efficiently.

Timeline

Choose the date you want to add a roast schedule to. Use the arrows to change the date or jump to a specific day by clicking on the calendar and choosing the desired date. 

Locations

Toggle between your locations by choosing the location from the drop-down menu. 

Machines

Click on the + button underneath to the machine you want to add a schedule for.

Scheduled batches

Each scheduled batch appears under the overview section. The color of the scheduled batches and the status bar on the left hand side help you keeping track of your daily production. 

  • Unpublished: This is a batch in draft state. While in this state, the batches can be edited, simply by clicking on the batch. Draft batches are not yet available within Roasting Intelligence (RI).
  • Published: The batches are now available to RI, but RI has not been synced yet. 
  • Synced: RI has been synced and the batches appear in RI.
  • Roasted: The batches have been roasted.
  • Inconsistent: The batches have been roasted, but with a different green lot or weight than scheduled.

Adding a roast schedule

By following the steps below you can add a roast schedule

  1. Navigate to the Schedule overview page.
  2. Click on + Add schedule in the upper-left corner or use the + button under the machine tab.
  3. Select the Date you would like to schedule your batches for.

  4. Select Single Origin / Pre-roast blend

  5. Enter the following details:  
    •  Profile
      💡 All profile related information (green lot, machine, etc.) will get pre-filled according to the Profile.
    • Weight loss
    • Green lot 
    • Machine
    • Roast technician
    • Add notes (Optional)
    • Batch size
    • #Batches (Batch count)
      💡 To quick-add Batches, add the Batch count you would like to schedule for the Profile and click +Quick add.

  6. Click Calculate batches to continue. 

Calculating batches

  1. You can calculate batches based on how much roasted coffee you need, how much green coffee you have, or how many batches you want to roast. Simply enter the number into the field of your choice and the other fields will update automatically.

  2. If the number of batches is an uneven number, click Round up to full batch

  3. If you want to save this as a repeating schedule, click Repeat schedule and enter an interval and end date.
    💡 The maximum time span for a repeating schedule is three months.
  4. Check the box next to Create another schedule, if you want to enter more batches.
  5. Click Add # batches to add the batches to your schedule. 

Recurring schedules will automatically sync and display the day they are set to repeat.

Reviewing and publishing the schedule


Within C-sar

  1. The submitted batches appear now on the Schedule page to be reviewed. 
  2. You can edit a single batch by clicking on the scheduled batch underneath the machine name. 
  3. To edit the schedule for a single-origin Profile, scroll down to the Scheduled coffees section and click Edit.
  4. Change the order of the batches by clicking on the drag-and-drop symbol and moving them. 
  5. Click Publish to make your schedule available to the Roasting Intelligence (RI). Once published, the batches turn blue. They will turn green once they are synced with the RI.
By editing the batches for a scheduled profile prior to roasting, you are overwriting the amount (# batches) with a new amount for the profile in question.
If you have already started roasting the batches for a profile, when this profile is adjusted then published, RI will publish a new schedule for the new batches.


Within the Roasting Intelligence (RI)

  1. Start the Roasting Intelligence (RI) and synchronize the RI with the server by clicking on the Synchronize-button in the the bottom-left corner of the screen.

  2. The schedule appears in the production overview on the left-hand side.
  3. If you now refresh your schedule online in C-sar, the batches will have turned green. 

Unfinished scheduled roasts will only carry over into next day.
Fortunately, you have the flexibility to effortlessly move your scheduled batches between different machines and days with a simple drag and drop feature.
