Setting up a Roast schedule (For Single origins and Pre-roast blends)

Overview
This article explains how to schedule single-origin lots and pre-roast blends.
Roast schedules help answer key questions, such as:
- How many roast batches are needed, and what is the optimal batch size?
- How much green coffee is needed?
- How much excess coffee will be roasted if you use the full batch size?
- How much green coffee is needed for blend profiles?
Instructions
Navigating to the Schedule page
- Log in to the online platform C-sar.
- Navigate to Roasts > Schedule.

Select More > Start tour to launch a guided overview of the Schedule page and its core features.

Exploring the Schedule page sections
- Timeline: Select the date for your roast schedule using the arrows to navigate day-by-day, or click the calendar icon to jump directly to a specific date.
- Locations: Use the dropdown menu to toggle between different locations.
- Machines: Click the “+” button underneath the machine you want to add a schedule for.

Scheduled batches: Each scheduled batch is listed in the overview section, with color codes and a status bar on the left to help track daily production.

Exploring the Schedule page Statuses
- Unpublished: This is a batch in draft state. While in this state, the batches can be edited simply by clicking on the batch. Draft batches are not yet available within Roasting Intelligence.
- Published: The batches are now available to Roasting Intelligence, but they have not been synced yet.
- Synced: The batches been synced, and the batches appear in Roasting Intelligence.
- Roasted: The batches have been roasted.

Inconsistent: The batches have been roasted, but with a different green lot or weight than scheduled.

Scheduling a roast
- Click +Add schedule.
- Select the Date you would like to schedule your batches for.
- Select Single Origin or Pre-roast blend.

Enter the following details:
- Profile: Selecting a profile will automatically populate fields like the green lot and machine settings.
- Weight loss
- Green lot
- Machine
- (Optional) Roast technician
- (Optional) Notes
- Batch size
- #Batches (Batch count): Set your batch count and click +Quick add for a faster setup.

Click Calculate batches.

Enter a value in any field (Green, Roasted, or Batches), and the rest will auto-calculate.
💡If the number of batches is uneven, click Round up to full batch.

To set a repeating schedule, click Repeat schedule and choose an interval and end date (up to three months).

- Check the box next to Create another schedule if you want to enter more batches.

Click Add batches.
💡 Recurring schedules will automatically appear on your calendar on every scheduled day.
Reviewing and publishing the schedule
⚠️ If you edit a profile before roasting, it simply updates your current batch count. However, if you edit a profile after roasting has started, the system will create a brand-new schedule for those updated batches
Reviewing the published schedule via the online platform C-sar
- The submitted batches appear now on the Schedule page to be reviewed.
- You can edit a single batch by clicking on the scheduled batch underneath the machine name.
- To edit the schedule for a single-origin Profile, scroll down to the Scheduled coffees section and click Edit.
- Change the order of the batches by clicking on the drag-and-drop symbol and moving them.
- Click Publish to make your schedule available to the Roasting Intelligence. Once published, the batches turn blue. They will turn green once they are synced with Roasting Intelligence.
Reviewing the published schedule within Roasting Intelligence
- Log in to Roasting Intelligence.
- Click the
Synchronize button on the bottom left side of the screen. - The schedule appears in the Production ("Today's production") sidebar.
- Refresh your Schedule browser page. The batch status will update to green.
💡 Unfinished roasts automatically carry over to the next day.
